Administrative Specialist

The Administrative Specialist will be responsible for a wide range of duties related to ensuring efficient and effective office operations as well as providing administrative support to the Management Team.

Duties & Responsibilities:

  • Ensures operation of shared office equipment by completing preventive maintenance requirements; following manufacturer's instructions; troubleshooting malfunctions; calling for repairs; maintaining equipment inventories; evaluating new equipment and techniques.
  • Maintains office supplies inventory by checking stock to determine inventory level; anticipating needed supplies; evaluating new office products; placing and expediting orders for supplies; verifying receipt of supplies.
  • Welcomes guests and customers by greeting them, in person or on the telephone; answering or directing inquiries
  • Assist the management team in a number of duties as required
  • Create, compile and update a variety of reports, meeting schedules and communication
  • Process sale contracts, update account information and other operational duties.
  • Assist in scheduling and coordinating group meetings, both on and off-site
  • Assist in a variety of special projects as appropriate

Skills & Specifications:

  • 3+ years of relevant work experience
  • Ability to work with confidential information in a discreet and professional manner
  • Strong verbal and written communication skills
  • Proficient in Microsoft Office products, including PowerPoint and Excel
  • Strong organization skills, including the ability to multi-task


  • An Associate’s degree in a related field
  • GED will be considered only if accompanied with work experience
  • Bachelor’s degree preferred.

Product Specialist

Rapidly growing Rock-Pond Solutions seeks a world class customer account representative to join the team as a Product Specialist. The position will be responsible for the implementation, training and support of Rock-Pond products along with developing, enhancing and maintaining customer relationships.

In this position, you will:

Manage relationships with internal/external resources contributing to the development and maintenance of training resources and delivery platforms. Perform implementation and training of the Rock-Pond products and provide customer service and support to manage all customers in their use of the products. Other duties as assigned.

Primary Job Functions:

Manage communications with stakeholders both internal and external. Negotiate and drive implementation projects to completion within an assigned timeline. Manage multiple implementation projects concurrently, handle incoming support calls and email and deliver on goals and timelines with high efficiency, adaptability, productivity and willingness to "do what it takes" to get the job done.

Job Requirements:

  • Minimum of a Bachelor's degree with an accredited university or equivalent of 5 years' experience in customer support roles
  • Fluency in Microsoft Office suite of products
  • Knowledge of instructional curriculum
  • Excellent verbal and written communication skills
  • Extraordinary attention to detail
  • Experience in training remote for software products


  • 3 years' training, instructional or testing experience
  • Project management experience
  • Experience in healthcare topics
  • GoToMeeting/Webinar, remote assistance platforms
  • Demonstrated planning & organization skills with the ability to think ahead, conceptualize and plan
  • HME, Home Infusion or SPRx background and software experience
