Are you managing your patient pay A/R?

Patient pay collection doesn’t have to be a hassle for your company. Rock-Pond has a lot of patient pay functionality to help manage this area of A/R. Our goal is to give providers the tools for faster reimbursements, less confusion, and more satisfied patients who will refer others to your company.

It’s no secret that patient pay balances are extremely difficult to collect. The process is time consuming, cumbersome, and expensive, especially compared with payer submission and collection. At Rock-Pond, we realize that the type of staff member it takes to collect from regular payers differs from the type of person dealing with patient pay. This creates a problem in CPR+ since patients are listed as individual payers. We have developed reports to accommodate this short falling in your system so each of your collectors can focus on what is important to them.

A perfect example of our patient pay functionality is our standard A/R Aging Analyzer grouped by Payer within Payer Type. Instead of listing each patient as individual payers, the report is designed to group all patient pay into one category as seen below. From that point, you can drill down into the patient payer type to see the specific patients who owe money. In your system, the A/R Aging report has up to five times as many pages as the Rock-Pond Report simply because the patient pay A/R isn’t grouped together!

Our A/R Analyzer is only one of many tools that Rock-Pond can provide you with to manage your patient pay process. If you are spending too much time or not enough time on patient pay collections, contact us to find out about other reports that can help!

Did I mention we also offer a Patient Pay Statement Solution?

Proper follow-up is a critical phase in the success of any company in the health care industry. As a provider, it is important to implement strategies that will reinforce effective communication with your patients. Consider these three tips on why it is important to follow up with your patients:

Cost Effectiveness — Insufficient follow-up may result in your patient switching to another provider, which means a loss in revenue for your business.

Patient Satisfaction – Patients are more likely to recommend you to others if they have good experiences and have developed a relationship with you.

Quality Care — It is your duty to follow up with patients to ensure that their health needs are being met.

Having the right INFORMATION at the right time is crucial when developing follow-up strategies. Rock-Pond has a report for Ascend customers that will help make the process smoother. The Follow Up Pharmacy Notes report (!as_1082a) was developed to enable pharmacists to review all patients for a period of time that require clinical follow-up. With this report, pharmacists can better maintain their communication with patients. The report includes patient contact information, primary diagnosis, and previous notes with the corresponding dates.

“The Pharmacy Follow Up report has increased the efficiency of our pharmacists. It groups all clinical follow up notes for the same patient on one page, not randomly distributed throughout the report. We couldn’t get this through Ascend without Rock-Pond!”

Pharmacy Director
Home Health United Xtra Care Pharmacy

In addition to following up with patients for clinical reasons, the billing department must stay on top of the accounts with balances due. Rock-Pond has reports designed specifically for CPR+, HomecareNet and Ascend customers to view past due follow up notes so collectors can focus on the claims they should be pursuing.

Catching errors early on will save time and money in the future. Rock-Pond has many reports that were designed to help audit your data for accuracy. A Rock-Pond customer recently asked us for help in auditing the orders that were entered on the previous day. Rock-Pond provided a solution for this CPR+ customer that is sure to save them time and money.

Our company is on a mission to improve billing efficiency. Rock-Pond created a report that I run every morning to audit the orders which were entered on the previous day. We save ourselves from dealing with a lot of clean-up on the back end by making corrections early in the process. Prior to having this report, I didn’t have a way to access all of this information without opening each individual order.

Nancy Greif
Reimbursement Specialist
CarePro Health Services

Below are the Tough Questions that Nancy needed to answer in order to improve their billing efficiency:

Is per diem compatible with insurance or payer type?

Is drug assigned to the correct payer?

Are flushes set up as ancillary to the primary drug?

Is diagnosis populated?

Is diagnosis appropriate for drug?

Is physician populated?

Who entered the order so we can know who needs additional training?

In response to her Tough Questions, we developed a report (!c2_1351) that shows orders and authorizations by patients so they can improve the efficiency of their billing department.

We are proud of the fact that every report we create and every solution we provide is in response to the experiences and requests of our customers. Several of our customers have recently discovered issues with their A/R after transitioning to CPR+ Line Item Financials (LIFE). Just this week, Rock-Pond deployed a version of our A/R Aging Analyzer to better accommodate the customers with these data issues and to show other users that the problem exists.

In CPR+ LIFE, it is possible to have line items of a claim net out to zero for that claim. For example, item 1 is $1,000 and item 2 is -$1,000. We have talked to many customers who have problems with this especially when doing A/R projects for payers. In response to this issue, Rock-Pond created a report for LIFE users to see if they are having these problems with their A/R. Report !c3_1234ax (A/R Aging Export – Claims with a Zero Balance where Line Items have a balance) shows each line item on a claim that has a balance (credit or non-credit) where the claim balance is zero. The report is in an Excel format so users can do pivot tables and much more. It will allow users to fix their data so they can get more accurate information moving forward.

Since the release of CPR+ LIFE in 2009, Rock-Pond has worked hard to stay on top of changes at the data level. Rock-Pond Reports now include over 350 reports designed specifically for LIFE users. Due to data structures and business logic change with LIFE, providers will need to clean up their data before the conversion. Rock-Pond Reports will help you find issues with your data so you can modify it before making the switch. When you are placed on a test system for LIFE, let us know and we will let you run our reports for LIFE. Rock-Pond can be very helpful and get reports in place that will make the process as painless as possible.

In addition, many customers are experiencing issues with canned reports in CPR+. Rock-Pond has most, if not all, of the canned reports from CPR+ in our report collection. If you will let us know which ones you are having trouble with, we will be glad to point you to our version to help alleviate this issue and get you back to “business as normal.”

CPR+ LIFE has a host of benefits; however, there are also some serious consequences. If you are on LIFE, run !c3_1234ax to verify that you are not experiencing the same issues. If your company plans on getting a LIFE, add Rock-Pond into your transition plan. Contact us — you will be more than glad you did.

Generating profits is what allows you to stay in business, so why not have a comprehensive analysis of your profitability automatically at your fingertips? Rock-Pond’s Profitability Analyzer is a powerful tool that allows users to zero in on patients they are losing money on, pricing issues, invoices without any cost associated, etc. so corrective action can be taken.

The value of our Profitability Analyzer (report !c2_1184b) comes from the flexibility to group invoices by up to three categories and hide the invoice detail so you can quickly see where you are profitable and where you need work. The possibilities are almost endless with 19 grouping options available. These grouping options are illustrated in the picture below.

Rock-Pond President, Pete Tanguay, recently participated in an on-site demo with a potential home infusion customer. Within minutes of launching the report, our Profitability Analyzer discovered enough lost revenue in one invoice to pay for Rock-Pond Reports for a year. In this case, there was a patient that had two drugs dispensed and the high priced drug was not even billed. Pete’s response was “Notice how quickly we found this!”

Rock-Pond wants your company to be profitable and we know that our Profitability Analyzer will provide value to your business. With our reports, it is so easy to identify issues and act upon them. We want to hear you say, “Notice how quickly we found this with Rock-Pond Reports!” If you already use this report and love it, contact us and tell us your story.

Rock-Pond customers see a variety of numbers and letters when searching and running reports in the Rock-Pond Information Center. Although you don’t have to know what each report code represents, some may find it useful.

Our report codes were designed to benefit both Rock-Pond and our customers. In the health care industry, each patient has a unique number assigned to them. At Rock-Pond, each report is assigned a unique identifier. There is a reason that the codes are different. Our searching options make it easy to search for reports by keyword; however, 20 reports may display from your keyword. If you know the report code, you can easily find the specific report that you are looking for. In order to keep consistency, we follow the guidelines explained below to assign report codes.

1) Software Specific Identifiers

Since we provide reports for multiple home infusion, HME, and specialty pharmacy software vendors, we begin each report code with a software specific identifier as seen below.

2) Slight Report Variations

Typically when a report has a suffix of a letter such as “a” or “b” it simply means it’s a different flavor of the report without the letter.

The reports listed below all deal with revenue. They cover the same area in the system but with a different angle.

3) Export Reports

Sometimes there is an “x” attached to a report code. Reports that include an “x” were designed to be exported into Excel so users can create pivot tables or special manipulation. Most reports that are built to do that have an “x” suffix but there may be a few exceptions.

4) Different Software Versions

Software venders occasionally release new versions of their software to add new features, take advantage of changes in technology, and keep up with regulatory changes. With the release of these versions, there are some functionality changes. To accommodate our customers, we adjust our reports accordingly.

For example, HomecareNet made a change to the collector functionality in version 4 that required an adjustment in our reports. Since some customers were still using version 3, we could not change our other reports. Therefore, we created new reports with the same functionality but attached an “_4” to the report code.

5) Report Revisions

At the bottom of each report, the report code is listed. In the picture below, you will notice that there is a “.005″ following the report code. This number means that the report has been revised five times. If you notice that the number is different from the previous time you ran it, you may want to see what the adjustments are. There may be a new feature of that report that would help you get the information you need.

The inspiration for this post was from a Rock-Pond customer who recently asked for clarification on our report codes. We love when our customers ask questions. If you ever have a question about our products, we are only an email or phone call away. Contact us at leah@rock-pond.com or 501.232.4363.

Rock-Pond Solutions has enhanced the exporting functions of reports with release 2.0.3 of the Rock-Pond Information Center. Users can now export their current view, such as an item that has been drilled down, or the entire report to an Excel file, PDF, or their printer. This new feature is in direct response to the requests of our customers.

If users would like to only see only a specific part of a report or if they want to look at more detail, our platform allows them to “drill down” on the report. In previous releases of our product, customers only had the option to export the entire report to excel for their manipulation. Now, users can export only the information they need at that moment.

In the illustration below, you will see an arrow beside the cursor pointing to El Paso, TX. This arrow identifies that El Paso can be drilled down on. By double clicking it, users will be able to see only the competitive bidding information for that specific CBA. If the user wants to export that drill down, simply ‘Export Current View to Excel’ as shown below.

If you are a Rock-Pond customer and would like to utilize the new export features in the latest release of the Rock-Pond Information Center, please update to version 2.0.3. To upgrade to the new release, select ‘Check for Updates’ in the menu bar at the upper left-hand corner of the Information Center and follow the on-screen instructions. As always, do not hesitate to contact us with any questions that you may have. Please direct questions to (501) 232-4360 or leah@rock-pond.com.

Complete product information and release notes for all products in the Rock-Pond Enterprise Reporting Platform can be found in the product resource center on our webpage.

Managing your billing department is not always an easy task; however, Rock-Pond has several solutions to help you increase the productivity of your billers. One way to increase your productivity is by making sure invoices do not get forgotten as time passes. Do you know if your billers are working invoices older than 45 days, 90 days, etc.? Keeping track of invoices that are being worked by your billers will prevent your company from losing a lot of money.

Rock-Pond Report !c2_1334 (Bill Notes by Patient within User entered {} through {} for claims older than {} Days) is a powerful tool to make sure your billers are staying up to date on old invoices. Running this report allows users to view any billing notes entered for a time period that are older than a user-specified amount of days at the time of claim, based off of the patients date of service, and grouped by patient within the user that entered the last note. By having this information, you can easily keep track of the people working older invoices.

In addition, did you know that our standard A/R aging report (!c2_1234z) can be run by last bill note? Using this parameter can help you make sure bill notes get put in and verify that your data is right. Sometimes changing your process is the key to being more productive. You cannot utilize our reports to their fullest potential without understanding the value of each parameter. One single report can be used for many different things.

Are YOUR billers working old invoices? Are YOU using Rock-Pond to its fullest potential? There is no better time than right now to find out. Run the reports, answer this Tough Question, and let us know about it. Contact us at leah@rock-pond.com or 501.232.4363.
